The Flawless Standard (“TFS,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect when you visit tfsclean.com (the “Site”), request a proposal, book a cleaning, or contact us, and how we use, share, and protect that information.
1. Information We Collect
Information you provide to us:
- Contact details: name, email address, phone number, and company name.
- Service details: property address, property type, square footage, number of rooms, service type, preferred dates and times, frequency, access instructions, and notes about your space (such as pets, alarm codes, or areas needing special care).
- Proposal requests: information you submit through our “Get a Custom Proposal” form about your facility, industry, scope, and schedule.
- Payment information: billing details needed to process payment. Card payments are handled by third-party payment processors. TFS does not store full card numbers on our servers.
- Communications: emails, calls, text messages, reviews, and feedback you send us.
Information collected automatically:
- IP address, browser type, device type, operating system, and referring pages.
- Pages viewed, time spent on the Site, and general location (city or region).
- Information collected through cookies and similar technologies (see Section 5).
2. How We Use Your Information
- To prepare quotes and proposals, schedule walkthroughs, and confirm bookings.
- To perform the cleaning services you request, including sending crews and accessing your property.
- To process payments, send invoices and receipts, and manage recurring service.
- To send appointment confirmations, reminders, arrival notices, and service updates.
- To carry out quality-control inspections, respond to concerns, and honor our satisfaction guarantee.
- To send promotional offers where permitted by law. You can opt out at any time.
- To improve our Site, services, and customer experience.
- To protect the safety of our clients, team, and business, and to comply with the law.
3. Text Messages (SMS)
If you give us your mobile number and agree to receive texts, TFS may send you messages about quotes, bookings, reminders, crew arrival, service follow-ups, and occasional offers. Message frequency varies. Message and data rates may apply.
- Reply STOP at any time to unsubscribe, or HELP for assistance.
- Agreeing to receive texts is not a condition of buying any service.
We do not sell, rent, or share your mobile number or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with any third parties, except service providers that help us deliver our messages.
4. How We Share Information
We do not sell your personal information. We share it only in these cases:
- Service providers: vendors who help run our business, such as website hosting, scheduling and customer management software, email and SMS delivery, payment processing, and analytics. They may use your information only to provide services to us.
- Our team: crew members and supervisors receive the details they need to perform and inspect your service, such as your address, access instructions, and scope of work.
- Legal requirements: when required by law, subpoena, or court order, or to protect the rights, property, or safety of TFS, our clients, our team, or others.
- Business transfers: if TFS is involved in a merger, acquisition, or sale, your information may transfer to the new owner.
- With your consent: in any other case where you have asked us to share it.
5. Cookies & Tracking Technologies
Our Site uses cookies, pixels, and similar tools to work properly, remember your preferences, understand how visitors use the Site, and measure our advertising. These may include analytics tools such as Google Analytics and advertising tools from platforms such as Google and Meta.
You can control or delete cookies in your browser settings. Blocking some cookies may affect how the Site works. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout. Our Site does not currently respond to “Do Not Track” signals.
6. Information at Your Property
Our crews work inside homes, offices, medical facilities, and other sensitive spaces. TFS team members are background-checked and trained to respect your privacy. They are told not to open drawers, files, mail, or computers. They do not photograph, copy, or remove documents or personal items. The only exception is before-and-after photos of cleaned areas, taken for quality control.
Keys, key cards, alarm codes, and lockbox codes are stored securely and shared only with the team members assigned to your service. They are returned or deleted when service ends.
For healthcare and other regulated facilities, any extra confidentiality requirements will be set out in your written service agreement.
7. Data Retention
We keep personal information for as long as we need it to provide our services, keep business records, resolve disputes, and meet legal, tax, and accounting requirements. After that, we delete or anonymize it.
8. Data Security
We use reasonable safeguards to protect your information, including encrypted (HTTPS) connections on our Site and limited access to client records. No method of sending or storing data is completely secure, so we cannot guarantee absolute security.
9. Your Choices & Rights
- Access and correction: you can ask for a copy of the information we hold about you or ask us to correct it.
- Deletion: you can ask us to delete your information, except records we must keep by law or for an active service.
- Marketing emails: click “unsubscribe” in any marketing email.
- Text messages: reply STOP to any message.
Depending on where you live, including Colorado, you may have additional rights under privacy laws, such as the right to opt out of targeted advertising. To make a request, contact us using the details below. We will verify your identity before responding, and we will not treat you differently for using your rights.
10. Children’s Privacy
Our Site and services are meant for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.
11. Third-Party Links
Our Site may link to other websites, such as Google reviews, maps, or social media. We are not responsible for how those sites handle privacy, so please review their policies.
12. Changes to This Policy
